This Privacy Policy explains how HJ Academy (“we”, “us”), run by Heena Jain from 505, The Boulevard, Pratham Circle, Surat, Gujarat, India, collects, uses and protects your personal data when you use hjacademy.in, contact us, book a session, or buy a course. We follow the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 and its rules.

1. What we collect

  • Details you give us: name, email, mobile number, city, organisation and role, and the message you send through our forms.
  • Account details: if you register, your login email and a securely hashed password (we never see or store the password itself).
  • Course activity: courses you enrol in, lessons completed, assessment results and certificates.
  • Payment details: payments are handled by an RBI-authorised payment gateway (such as Razorpay). We receive only the payment status, amount and a transaction reference. We never see or store your card, UPI PIN or bank login details.
  • Technical data: IP address, browser and device type, pages visited and cookies, used to keep the site secure and working.

2. Counselling confidentiality

What you share in counselling is kept strictly confidential. Session notes are stored securely and are not shared with anyone — including an employer who has paid for a programme — without your written consent. The only exceptions are where there is a serious risk of harm to you or someone else, or where a law or court order requires disclosure.

3. How we use your data

  • To reply to your enquiry and arrange sessions, workshops or training.
  • To give you access to courses, track progress and issue certificates.
  • To process payments, send receipts and invoices, and meet tax and accounting rules.
  • To send service messages such as booking confirmations and reminders.
  • To send updates about new courses or workshops — only if you have agreed, and you can opt out at any time.
  • To keep the website secure and prevent fraud or misuse.

4. Your consent

We process your personal data on the basis of your consent, given when you submit a form, register or make a purchase, or for legitimate uses allowed by law (for example, keeping payment records). You may withdraw consent at any time by writing to info@hjacademy.in; this does not affect anything done before you withdrew it.

5. Who we share it with

We do not sell or rent your personal data. We share only what is needed with:

  • our payment gateway, to process payments;
  • our website hosting and email providers, who store data on our behalf under confidentiality obligations;
  • government or law-enforcement authorities, only where the law requires it.

6. Cookies

We use essential cookies to keep you signed in and to protect forms from misuse, and may use simple analytics cookies to understand which pages are useful. You can block cookies in your browser settings, but some parts of the site (such as signing in) may then not work.

7. How long we keep it

We keep enquiry details for up to two years, account and course records while your account is active, and payment records for as long as tax laws require (usually eight years). After that we delete or anonymise the data.

8. How we protect it

We use HTTPS encryption, hashed passwords, restricted admin access with activity logs, and regular backups. No system is completely secure, but we take reasonable steps to protect your data and will inform you and the authorities of a data breach as the law requires.

9. Your rights

  • Ask what personal data we hold about you and how it is used.
  • Ask us to correct, complete or update it.
  • Ask us to delete it, unless we must keep it by law.
  • Withdraw consent and opt out of marketing messages.
  • Nominate someone to exercise these rights on your behalf.
  • Raise a grievance with us, and then with the Data Protection Board of India.

10. Children

Our website and courses are meant for adults. Counselling or courses for anyone under 18 are provided only with the verifiable consent of a parent or legal guardian.

11. Grievance Officer

If you have a question or complaint about your personal data, please contact our Grievance Officer: Heena Jain, HJ Academy, 505, The Boulevard, Pratham Circle, Surat, Gujarat, India. Email: info@hjacademy.in · Phone: +91 96870 99306. We will acknowledge your message within 48 hours and resolve it within 30 days.

12. Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top of this page shows when it last changed.
